Everything in Rills lives inside a workspace: workflows, integrations, team, billing. You can belong to more than one.
#Workspace settings
Your workspace identity is defined by its name, which is shown in the sidebar, invitations, and notifications.
#Team
Plan determines team size: 1 (Starter), 5 (Professional), 25 (Business), unlimited (Enterprise).
#Roles
| Role | Permissions |
|---|---|
| Owner | Everything, including billing, workspace deletion, and ownership transfer. One per workspace. |
| Admin | Invite/remove members, edit workflows, configure integrations. No billing or workspace deletion. |
| Member | Create and edit workflows, use integrations, work the approval queue. Can’t change workspace settings. |
| Viewer | Read-only access to workflows and run history. Can’t approve actions or change anything. |
Note: each role inherits the permissions of every role beneath it. That is, an Admin can do everything a Member can do, and a Member can do everything a Viewer can do.
#Managing the team
In Settings → Team:
- Invite: enter an email; they receive a link to join.
- Cancel invitation: owners and admins can cancel pending invites.
- Re-invite: send a fresh invite if one expires.
- Remove a member: owners can remove anyone except themselves; admins can remove members and viewers.
- Leave a workspace: admins, members, and viewers can leave on their own. Owners must transfer ownership first.
#Notifications
Notifications are organized by the priority of the approval or event (Urgent, High, Normal, or Low), not by a fixed list of event types. In Settings → Notifications you control:
- Instant email: which priority levels send you an immediate email.
- Push notifications: which priority levels push to your mobile devices (Urgent and High by default). Urgent always bypasses quiet hours.
- Digest emails: batch lower-priority notifications into an Hourly, Daily, or Weekly digest, or turn digests off.
- Quiet hours: suppress non-urgent notifications during a time window you set, in your timezone. Urgent notifications still come through.
Each team member controls their own preferences independently.
For mobile push notifications, see the mobile app .
#Sender domains
Sending email from your own domain (instead of @rills.ai) requires verification. See Email . Available on Professional and higher.
#Activity feed
The Activity tab shows a timeline of who-did-what across the workspace: workflow edits, integration connections, approvals, billing changes. It’s available on every plan, including Starter, and kept for 1 year regardless of your plan’s data retention.
#Billing
Plan, current credit usage, and spending caps all live in Settings → Billing. See Billing & Credits for plan details.
#Multiple workspaces
You can create and belong to multiple workspaces. Each is fully independent:
- Separate team members and roles
- Separate workflows and run history
- Separate integrations and credentials
- Separate billing plan and credit usage
Use the workspace selector in the sidebar to switch. Useful for separating client projects, multiple businesses, or production from testing.
