Account & Workspace

Manage workspace settings, team members, roles, and notification preferences

Every Rills account starts with a workspace. Your workspace holds your workflows, integrations, team members, and billing -- everything is scoped to the workspace level.

Workspace settings

Two fields define your workspace identity:

  • Name -- displayed in the sidebar, team invitations, and notifications.
  • URL slug -- appears in your workspace URLs (e.g., rills.ai/workspace/your-slug). Must be unique across all Rills workspaces. You can change it at any time in Settings > General, but existing bookmarks and shared links will break.

Team members

Each workspace supports up to the team member limit on your plan (1 on Hobby, 5 on Professional, 25 on Business, unlimited on Enterprise).

Roles

Four roles control what team members can do:

Owner -- full access to everything, including billing management, workspace deletion, and transferring ownership. Each workspace has exactly one owner.

Admin -- can invite and remove members, edit workflows, configure integrations, and manage most workspace settings. Cannot access billing or delete the workspace.

Member -- can create and edit workflows, use integrations, and interact with the approval queue. Cannot invite or remove other members or change workspace settings.

Viewer -- read-only access to workflows, execution history, and workspace data. Cannot create or edit workflows, approve actions, or change any settings. Useful for stakeholders who need visibility without edit permissions.

Managing your team

  • Invite -- enter an email address in Settings > Team. The invitee receives an email with a link to join your workspace. Invitations expire after a set period.
  • Cancel invitation -- owners and admins can cancel pending invitations before they are accepted.
  • Re-invite -- if an invitation expires, owners and admins can send a fresh one to the same email.
  • Remove a member -- owners can remove any member except themselves. Admins can remove non-owner members. Removed members lose access immediately.
  • Leave a workspace -- admins and members can leave a workspace voluntarily. Owners cannot leave (transfer ownership first).

Notification preferences

Four notification types are available per workspace. Each is a toggle you can turn on or off in Settings > Notifications:

All four are enabled by default. Changes apply to your account only -- other team members control their own notification preferences independently.

Billing and usage

Billing settings, current plan details, credit usage, and spending caps are managed in workspace settings. See Billing & Credits for plan details, credit types, overage rates, and spending cap configuration.

Multiple workspaces

You can create and belong to multiple workspaces. Each workspace is fully independent:

  • Separate team members and roles
  • Separate workflows and execution history
  • Separate integrations and credentials
  • Separate billing plan and credit usage

Switch between workspaces using the workspace selector in the sidebar. This is useful if you run multiple businesses, want to separate production from testing, or collaborate with different teams on different projects.
