Zapier Pricing Calculator

See what your task volume really costs on Zapier, and what the same workload costs on Rills. Enter your numbers below.

Zapier bills every step as a task.

A task is any action that succeeds, including the lookups, formatting, and branches you never count as work. More runs mean more tasks, whether or not each one needed a human eye, so the bill climbs with your growth.

Methodology

How volumes are normalized

Each platform bills a different unit, so the calculator converts your task volume before it picks a plan.

  • Per step
Zapier and Make bill every step. A task (Zapier) or operation (Make) is any executed step; both equal your task volume one-for-one.
  • Per run
n8n bills per workflow execution. Steps inside a run are free, so your volume is divided by your average steps per workflow.
  • Per action
Rills bills only action steps. Each billable action is 2 workflow credits; triggers, logic, and human approvals are free, so only your billable-action share converts.

Assumptions

  • Prices are published list prices for annual billing; the monthly toggle uses each vendor's published monthly price where one exists (annual-only plans are flagged).
  • AI features, add-ons, promotional pricing, and trials are excluded.
  • n8n self-hosted (free software, user-specific server and ops costs) is not modeled.
  • Per-seat value (e.g. plans bundling many user seats) is noted but not priced.
  • Where a vendor publishes EUR pricing, amounts are converted to USD and noted.
  • Rills plans include a monthly spending cap you control; the calculator shows uncapped metered overage.

Zapier pricing questions

How does Zapier count tasks?

Zapier counts every successful action step as one task. A single Zap that looks up a record, formats a field, and sends an email burns three tasks per run, so a few multi-step Zaps reach the plan minimum faster than the step count suggests. Filters and the trigger itself are not billed, but every action that succeeds is.

Why is Zapier's monthly price higher than the annual price?

Zapier's headline numbers are annual prices. Professional is $19.99/mo billed annually but $29.99/mo billed monthly, and Team is $69/mo annual versus $103.50/mo monthly — about 50% more to pay month-to-month. The calculator's monthly toggle shows both.

Is the free Zapier plan enough for a real business?

The free plan caps you at 100 tasks a month and two-step Zaps with no premium apps, which covers light personal use but not a business workflow that runs daily. Most operators hit the Professional minimum (a 750-task plan) the moment automations do real work.

What does the same volume cost on Rills instead of Zapier?

Rills only charges for billable action steps; triggers, filters, branching, and human approvals are free, and a workflow paused awaiting your approval costs $0. Enter your task volume above and set the billable-action share to see the side-by-side. The fairer comparison is often per dollar of work that actually mattered, not per step that happened to run.

How accurate are these Zapier prices?

The tier table shows a last-verified date and links to Zapier's pricing page. Prices are snapshots of published list prices and change often, so confirm on zapier.com before buying. AI features and add-ons are excluded because they price too differently to compare fairly.

Run this volume on Rills.

Approvals, logic, and paused workflows never cost a credit — you pay for the actions that actually execute.
